About this policy
QuoteSnappy is operated by Rich Pitch Labs. This policy explains how we process information when you use QuoteSnappy to manage customers, quotes, invoices, payments, outreach, and business expenses. Contact admin@richpitchlabs.com with privacy questions or requests.
Information we collect
Account information includes your account identifier, email address, name, and authentication information. You may also provide your business name, phone number, address, logo, language, tax settings, and estimate terms. Customer, quote, invoice, promotion, social-profile, and business-expense records may include customer names, email addresses, phone numbers, job addresses, descriptions, quantities, prices, taxes, deposits, notes, payment status, marketing-consent status, campaign history, business social links, expense categories, vendors, amounts, payment methods, and receipt references. We process information you enter or upload, support communications, and technical information needed to operate the service, such as request logs, browser information, and session identifiers.
Google sign-in and Google user data
When you choose Google sign-in, Google and our authentication provider process your sign-in and provide basic identity information, such as your Google account identifier, name, email address, and profile image when supplied. We use this information to create or identify your QuoteSnappy account, authenticate you, and display account information. QuoteSnappy does not receive your Google password. The current app does not use Google Workspace APIs to read Gmail messages, Drive files, Calendar events, or Google Contacts. Google sign-in identity information is stored with your account through our hosting and authentication provider. Account name and email may also be sent to Stripe when you open subscription checkout to associate billing with your account. We do not use Google sign-in data for advertising, sale to data brokers, or training generalized AI models. You can revoke access in your Google Account connections settings; revoking access does not itself delete existing QuoteSnappy records.
Google data access, storage, and protection
Google sign-in is used for account identification and authentication, not access to your Google Workspace content. Basic identity information is stored in the account record managed by our hosting and authentication provider. Authentication credentials and session tokens are used to maintain your signed-in session. Access to customer and quote records is restricted by account permissions, and HTTPS protects data in transit. Removing the Google connection stops future authorized sign-ins through that connection but does not erase existing account records. To request deletion of stored Google identity information and associated account data, email admin@richpitchlabs.com from your account email address. We may verify your identity before processing the request. See Retention and deletion below for billing, backup, and other exceptions.
Google data and AI processing
QuoteSnappy does not retrieve Google Workspace content for its estimate-generation feature, and does not use Google Workspace APIs to develop, improve, or train non-personalized AI or machine-learning models. The AI feature receives the job-description text and business context submitted for an estimate. If you manually include personal information in those fields, it is included in that request. Google sign-in profile information is not automatically included in the AI prompt.
How we use information
We use information to operate your account; generate, calculate, save, and display estimates and invoices; maintain your customer list and business defaults; provide PDF exports and sharing; create invoice payment links; manage subscriptions; send promotions only to customers marked as opted in; support Social Hub sharing workflows; organize business-expense records in Business Write-Offs; transcribe user-initiated voice recordings for the Voice Quote Assistant; respond to support requests; and investigate errors, fraud, or misuse. You should only enter customer information that you are authorized to use and share.
AI estimates and voice input
When you request AI assistance, the text and business context you submit are processed through our hosting provider and its AI subprocessors. Receipt, invoice, and vehicle-dashboard scans send the selected document or photo through a short-lived signed link for AI extraction. AI Outreach conversations and enabled agent memory may store your messages and business context. Optional Voice Quote Assistant input can record and upload audio to private storage managed by our hosting provider and send it to OpenAI for transcription when server transcription is configured. Browser speech recognition can also process audio through the browser provider. Transcripts may become part of saved quotes or AI requests. Uploaded audio is not guaranteed to be deleted immediately after transcription. Review AI output and avoid submitting unnecessary sensitive information.
Service providers and sharing
QuoteSnappy uses a third-party infrastructure provider for hosting, authentication, database storage, file uploads, backend functions, and integrations including AI generation and email delivery. These services and their subprocessors process the information needed to deliver those features. Stripe may process QuoteSnappy subscription billing, merchant onboarding through Stripe Connect, invoice checkout, payment details, payouts, subscriptions, and related transaction records. QuoteSnappy stores billing identifiers and subscription information, but does not collect or store full payment-card numbers or card security codes in its own database. Google processes Google sign-in. If you send an estimate by email, its content and recipient address are processed for delivery. SMS, WhatsApp, copied text, and downloaded PDFs may be handled by the apps, devices, or recipients you choose. Uploaded business logos and campaign work images may be hosted as publicly accessible files by the current upload service. Business Write-Offs receipt/invoice scans and vehicle-dashboard photos are stored in private file storage and are accessed through short-lived signed links when needed. Do not upload receipts or images containing sensitive personal identifiers, full card numbers, passwords, or confidential documents. Voice Quote Assistant audio is also uploaded through private file storage and may be sent to OpenAI's audio-transcription API when server transcription is configured; browser speech recognition may be used as a fallback. We may disclose information when legally required or necessary to protect the service and its users. Provider processing may occur outside your country.
Usage analytics
Our application infrastructure collects usage events, page paths, session identifiers, timestamps, and account identifiers when signed in to measure service use. The Android package also includes Google Analytics for Firebase, configured for analytics and automatic screen reporting. These providers process usage and device information according to their settings and terms. Analytics records are distinct from the customer and financial records you create. Our Android app's infrastructure wrapper also collects crash logs and device identifiers. This collection is required and records are stored across sessions, rather than processed only temporarily. The infrastructure provider has confirmed that the wrapper does not use Advertising ID and its included AppsFlyer and Facebook SDKs are inactive. These technical records are subject to provider retention and deletion processes described below.
Cookies, storage, and security
Authentication and session features use browser storage and related technologies to keep you signed in and operate the app. QuoteSnappy uses HTTPS for network connections and account-based access controls for customer and quote records. Payment credentials are entered on Stripe’s payment pages. No service can guarantee absolute security. Keep your login credentials private and sign out on shared devices.
Retention and deletion
Account and business records are retained while needed to provide the service. In Settings, Delete Account removes supported account records before removing the account; a failed operation may leave partial cleanup and is not reported as complete. The automated flow does not cover every uploaded file, AI conversation or memory, referral/access-code record, payment-history record, billing record, provider log, or backup. It does not automatically cancel Stripe renewals. Accounts with financial or billing records require an assisted retention review before automatic deletion can proceed; no records are removed by that blocked attempt. Contact admin@richpitchlabs.com to request complete deletion, including those records, or to resolve an incomplete request. Financial records may require retention for applicable tax and accounting obligations, unsettled payments, refunds, disputes, or fraud prevention; the applicable law and unresolved transaction determine the required period. Security records and provider backups are subject to the relevant provider retention and recovery cycles. We do not promise immediate or automatic deletion of those records. Copies already sent to recipients cannot be recalled.
Your choices and privacy requests
You can update business details in Settings, manage customer, quote, invoice, payment, promotion, Social Hub, and Business Write-Offs records, change customer marketing-consent status, deny or revoke microphone permission, manage subscriptions or connected payment onboarding through Stripe, and revoke Google access through your Google Account. To request access, correction, export, or deletion of personal information, email admin@richpitchlabs.com. We may ask for information necessary to verify your account before acting. Depending on your location, you may have additional privacy rights and the right to contact a privacy regulator. If a contractor entered your information, contact that contractor about their use of it; you may also contact us for assistance.
Children and policy changes
QuoteSnappy is designed for business users and is not intended for children. Contact us if you believe a child has supplied personal information. We will update this page when our practices change and provide additional notice where required, including for material changes to how Google user data is used. The date below identifies the latest policy update.
